LXV | Prepayment Bank Transfer Payment Vital Job Invoice

Prerequisite 

1) Bank transfer from client is visible in Xero bank feed. 



2) Users must have access to Xero 



This Guide will cover the following payments situations for a Job Invoices in Vital: 
  1. Prepayments from bank transfer before Quote or Job is created in Vital/Pooltrackr

This guide does not include information on payments for Job Invoices in Vital.:
  1. Payment via CC on file/Pay Now Link send in an email -Click here for the Guide

  3.  Payment via Bank Transfer to your Bank account - Click here for the guide 



Open Xero and locate the Bank account that contains the customer prepayment. Once you're there, look for the three dots on the right side of the screen and select them. Then select Reconcile Account.



On the Reconcile screen, find the prepayment transaction on the left side of the screen. Then select Find and Match on the Right.


A dropdown will appear. Scroll down and Navigate to section 2


Then select the New transaction button> Receive Money


A receive money window will appear. Navigate to the Direct Payment dropdown click then select Prepayment.


Then enter your Quote or Job in the reference section. Under accounts type Prepayment and select the Prepayments account.



Once the Prepayment details are added review and select Save Transaction on the bottom right.

Then select the Reconcile Button
