NetSuite > Xero Payroll announcement mail from Dan (Accolution)

Announcement mail from Dan for Franchise Partners that are currently on NetSuite.   


The Xero payroll for Poolwerx XYZ is setup and ready for your review.  An email invitation from Xero has been sent to you, click on Accept Invite and follow the prompts to gain access.  The suggested start date for using it is the first payroll payment date in July, for you that would be the weekly pay period [date] to [date], being paid on [date].  

Here is an overview:
  1. Xero payroll settings have been created consistent with NetSuite payroll provided.
    • they can be viewed in Xero by navigating to the Payroll menu, selecting Payroll Settings and navigating across the tabs on that page (Organisation, Calendars, etc.)
  2. Employees have been added to Xero based on the information from NetSuite payroll.   This includes contact information, super accounts, bank accounts, pay templates, etc.
    • employee data can be viewed by navigating to the Payroll menu, selecting Employees and clicking into an employee, navigating across the tabs (Details, Employment, etc.)
  3. Leave Balances will be entered in Xero after the last payroll in NetSuite is processed.  Please provide the the NetSuite Leave Balance report after the last payroll in NetSuite is finalised.  Here is a link to the leave balances guide NetSuite Payroll - Leave Balances .
  4. To create a new pay run go to Payroll - Pay Employees - Add Pay Run button.   Confirm the date and follow the prompts.  This will create a pay run with all employees, go into each employee and enter hours, confirm pay amounts, etc.
  5. Some employees had 2 different addresses in NetSuite payroll, one address has been entered in Xero please review and confirm or make updates.
  6. Myron's superannuation fund USI is not showing as valid in Xero, please confirm the fund details with Myron so his fund can be entered in Xero.

Employee Pay Template Review
In Xero a Pay Template is the default pay for an employee for each pay.  Please review the templates for each employee for accuracy.  The hourly employees do not have hours on the Pay Template, the hours can be added for each pay run when it is created.  
To review the Pay Template, go to Payroll -  Employees - select an Employee - go to the Pay Template tab.  Hours, rates, etc can be updated, as necessary.  
To navigate to the next employee, click on the Employee Name drop down above the Employee's name and select the next employee.
Note: the hours, rates, etc. can also be changed for each individual pay run so the above process is setting up the Pay Templates to minimise the work done for each pay run.

Further steps required by you (or an authorised company official)
  1. Setup Single Touch Payroll
    • this should be done prior to your first payroll in July.
    • in Xero go to Payroll - Single Touch Payroll - Opt In button and follow the prompts

  2. Setup Automatic Superannuation
    • Xero's Automatic Superannuation allows you to approve the super payment in Xero and have it direct debited from your nominated bank account
    • to setup this functionality in Xero go to Payroll - Superannuation - Get Started button and follow the prompts
