This guide outlines the process for configuring and managing Price Books.
Overview of Price Books
Price Books enable you to offer special pricing to some or all of your clients. Pricing can be targeted to:
- Specific locations
- Specific sets of clients
- Specific time periods.
Price Books are useful for offering wholesale rates, contract pricing, or bulk-buying discounts. They link directly to client groups, allowing you to offer special pricing and report on sales within those groups.
Important Notes:
- Each client can only belong to one group at a time.
- Default Group: New clients are automatically assigned to the "All customers" group, which reflects the general price book with the standard retail price outlined on each product.
- Switching Groups: When a client is added to a custom group, they are automatically removed from the "All Customers" group.
- Specialised Pricing: Not all products needs to be included in a price book. If a product is not listed in the assigned price book, the price will default to the retail price on the product.
Difference between Price Books and Promotions
- Price Books: Integrate with Vital and apply to field transactions.
- Promotions: Apply only to retail transactions and do not impact field transactions.
Steps to Implement Price Books
- Create distinct groups for your clients - Define groups based on criteria such as location, client type, or contract terms.
- Assign the groups to your clients - Assign clients to the appropriate group.
- Create a Price Book - Create the price books and align it with the previously define groups.
- Add or update products in price book- Enter specialised pricing for all relevant products.
- To view your current prices assigned to clients, run this search in NetSuite: PWX | Client Specified Item pricing
- Update Price Book setup in Vital - Enable and sync the Price Book configuration in Vital to apply the pricing to field transactions.
