This guide outlines the process for updating the customer groups in LightSpeed, ensuring clients are assigned to the correct groups for targeted pricing.
Individually Update a Customer Group
- Log into your LightSpeed account
- Expand the Customers menu and select customers.
- Search for the customer you want to update.
- Click on the customer name to open their details.
- Use the drop-down menu to update the customer group.
- Click ‘Save’ to apply the changes.
Bulk Update via CSV Import
Log into your LightSpeed account
Expand the Customers menu and select customers.
Export the customer list
You can export your entire customer list or filter by name, customer code, contact details, group, city, or date created.
Once filtered, click Export List.
Handle Large Customer Exports. If you have more than 1000 customers, follow these steps:
Right-click Page 1 and select Copy Link Address
Open a new tab in Google Chrome.
Paste the link, change the number '1000' to a greater number, e.g '10000'
Press enter to download the CSV file.
Note: Export limits depend on the amount of data per customer. A 15,000 export is usually successful, but 30,000 may cause a timeout, Use Multiple batches if necessary by changing Page=1 to Page=2, and so on.
- Adjust the CSV File
- Open the downloaded file(s) from your downloads folder.
- If prompted by Excel, click ‘Don’t Convert’.
- Remove unnecessary columns, Ensuring you are left with: Customer_code, First_name, Last_name, company_name, and customer_group_name.
- Do not adjust or remove the customer_code column, as it serves as LightSpeed's identifier for the client.
- Update the values in the customer_group_name column to assign clients to the correct group (ensure the names match exactly).
- Save the file in CSV format.
- Import the Updated List
- Navigate to the Customers Page in LightSpeed.
- Click ‘Import customers’, then select ‘Import with CSV’.
- IMPORTANT: DO NOT Select Import From Xero to avoid duplicating existing clients.
- Click ‘Select a file to upload…’ and choose your saved CSV file.
- LightSpeed will validate the file and ask you to confirm. Click ‘Continue with import’.
- Once the import completes, a notification will appear under the bell icon indicating success or any issues encountered.
