LXV | Pay In Store Vital Job Invoice Process

Prerequisite 

An invoice from Vital must be created before continuing. Click here to learn how to generate an invoice in vital from a completed Vital Job.
 

This Guide will cover the following payments situations for a Job Invoices in Vital:
  1. Payment in store via Card (Terminal)/Cash

This guide does not include information on payments for Job Invoices in Vital.:
  1. Payment via CC on file/Pay Now Link send in an email -Click here for the Guide 
  2. Payment via Bank Transfer to your Bank account - Click here for the Guide 



Navigate to the top right corner and select Marked as Invoice. If you have completed this step from the previous guide move to the next step.



Once the Marked as Invoice button is selected the page will refresh and you will have to navigate to the Job again. Once located click on to the job and enter it. You should see the following as per the screenshot below.



Navigate to the summary section on the Right hand side of the screen.


Then select the attachments button. A dropdown will appear and an Invoice number will be revealed. Take note of this number. 


Then navigate in your menu bar to Invoicing > Invoices



An invoice listing page will appear, use the Search function to find your invoice. This is the number you took note in previous step above. Alternatively, you can type the client name or address in the search bar to find the invoice. 


Once the invoice is located select the "SYNCED" button in green.



Another Tab in your browser window will open and display the invoice in Lightspeed. As per the screenshot below.

Then select the Continue sale button. 



TIP

There will be times where your Continue sale button is grayed out. This is due to 2 factors.

1) You have another sale window open. Please close the sale window and select the "SYNCED" green button in Vital again


2) You are in the wrong register and will need to switch to the right register to continue the sale. Then "SYNCED" green button in Vital again. 


After the Continue Sale button is selected your page will be redirected to the Lightspeed Sell page with the invoice preloaded for payment to be processed.


Alternatively, you can switch registers to service outlet, find the customer, click on their name to 'view customer sales' and find the invoice. Click on the blue arrow to continue the sale.

Then select the Pay button below. The page will redirect you to the payment options in Lightspeed. You can select either Windcave (This is your terminal for card payments) or Cash.


Do not select any other payment types or you will have to void the invoices manually in all 3 systems.


Once a payment type is selected you will get a preview to Complete the sale. As per the screenshot below. Then select complete sale


Processing time for these Lightspeed payments 


All payment types in Lightspeed that are used for Vital invoices once paid will take 15 min to Sync
