Removing Duplicate records in Vital for Data cleanup.

1. Welcome to the tutorial on how to Remove Duplicates in Vital.

2. The first step is to open Setup

3. Click Data Cleaning

4. Select which one you plan to remove duplicate records.

5. For Contact Duplicates, select which field you would like to check that has duplicates. You could tick multiple fields.

6. For our example, we would like to check contact record that has same Address Street one, First Name and Last Name.

7. Click Check Duplicates.

8. It will show how many duplicates it finds base on the filter you have selected.

9. Click the Client row you want to check to expand the details for this record.

10. Scroll thru the details and find if there's anything difference between the two records.

11. The system will set on of the record as the primary.

12. you may click Set Primary if you want the other record to be primary instead.

13. Once done checking the duplicate, and it is indeed a Duplicate record, Click Merge Contact.

14. A notification regarding the merging will pop up. Click yes if you want to proceed with merging. This includes the water test and its history.

15. In case you have duplicate Record but has different email, you may add the duplicate's email to the Primary record.

16. Just copy and paste the duplicate's email to the cc email of the Primary Record.

17. Then click Merge Contact.

18. You may want to check as well filtering only Address street one and last name.

Step 18 image

19. You may see Incorrect spellings for names and addresses to the contacts.

20. Select the correct one then click Merge contact.

21. Filtering it with just Address and last name may show some genuine duplicate. This might be a family member with the same address who share a surname. These are not duplicates. You should define the relationship between this contact instead.

22. To define their relationship, Click Operations.

23. Click Contacts

24. Click edit on the contact you want to be the under parent record.

25. Search and select the contact you want to be the parent of the record.

26. Select relationship to the parent contact.

27. Click Update.

28. In Pools duplication. We recommend to tick all the filters.

29. Only merge the pools if the volume is different by less than 10%.

All other data, except ground level should be identical.

30. Once done checking, Click Merge Pool.
