Vital Scheduler | Making a Quote Processes with a deposit

This guide is to show users how to create a quote with a deposit. When a deposit is attached to a quote a customer will have to agree to the quoted amount for the job and pay a specified deposit amount set by you.


Deposit process as a diagram (attached, scroll down to the end to find the document). 


STEP 1

Navigate to Quotes dropdown and select open quotes

Enter the customer details. Ensure that the customer has a pool linked to the account. It should look like the screenshot below

Select the Job Type and Review the Task's for the Job.

Preview and send 

Once the preview and send button is selected your page will refresh and it will look like the screenshot below. In this section is where users review, finalize and state the deposit amount for the quote.


Enabling deposit amount for the quote



Directly below the Issue to section you must enable the Deposit function to take deposits from a customer. As per the above screenshot we can observe a deposit of a $100 had been configured.



Finalizing the Quote after configuration of deposit

After setting up the deposit amount, review "Summary for customer" section. This section displays the email text that will be generated in the quote.

Once reviewed, select the SEND button on the top right of the window to send the quote.



Examples - Customer Point of View / Approving and paying for deposit (Using PAY NOW)

Customer perspective once they receive the quote in their email it will look like the screenshot below

Once the APPROVE button in the screenshot above is selected the customer will receive another email requesting for the Deposit payment. See screenshot below.
The customer will have to pay their deposit via Windcave pay now portal. This gets triggered when they select the pay now button. See screenshot below


Payment in store 

Here is a guide for payments/prepayment in full in store. This is if the customer decides to pay in store instead of online Pay now. 




HOW TO CHECK IF A QUOTE HAS BEEN PAID

Navigate to Invoicing>Invoices>Search invoices (Enter customer name)>Check the results and view Status.
